Zoom integration
Connecting Zoom lets ARK Projex create a Zoom meeting when a client books time on your scheduling page, and bring the cloud recording transcript of that meeting into the project's Meeting Minutes. Each person connects their own Zoom account, and ARK Projex only ever accesses that person's own meetings and recordings.
Requirements
- An ARK Projex account.
- A Zoom account. Cloud recording and transcript import require a Zoom plan that includes cloud recording.
How to connect
- Sign in to ARK Projex.
- Open your avatar in the top-right corner and choose Profile, then the Connections tab.
- In the Zoom card, click Connect Zoom.
- Sign in to Zoom if prompted, review the requested permissions, and click Allow.
- You are returned to your Profile, where the Zoom card now shows the connected account.
How to use it
- Meetings from bookings. When someone books a time on a booking page you host, ARK Projex creates a Zoom meeting on your account and includes the join link in the confirmation email and calendar invite. Cancelling the booking removes the Zoom meeting.
- Transcripts into Meeting Minutes. Open a project's Meeting Minutes record and choose to import from Zoom. ARK Projex lists your recent cloud recordings so you can pick the one that belongs to the meeting and file its transcript against the project.
What permissions we request, and why

ARK Projex never accesses other people's meetings or recordings, and never joins a meeting.
How to disconnect or uninstall
From ARK Projex:
- Go to Profile → Connections.
- In the Zoom card, click Disconnect.
From Zoom:
- Sign in to your Zoom account and go to Settings → Zoom App Marketplace → Manage → Added Apps.
- Find ARK Projex and click Remove.
Disconnecting deletes the stored Zoom tokens and stops all further Zoom API calls. Records already in ARK Projex — meeting minutes, imported transcripts, booking history — remain in your project, since they are project records. Meeting join links for past meetings stop working once the Zoom meetings themselves are gone.
Troubleshooting
- “Couldn't connect Zoom — please try again.” The authorization did not complete. Try again from Profile → Connections; if it repeats, email support with the time it happened.
- No Zoom link on a booking. Confirm the person who hosts that booking page has Zoom connected on their own Profile — the meeting is created on the host's account, not the firm's.
- No recordings listed. Zoom must have finished processing the cloud recording, and your Zoom plan must include cloud recording. Processing can take a while after a long meeting.
- No transcript on a recording. Audio transcription must be turned on in your Zoom account settings before the meeting is recorded. It cannot be added afterwards.
Other integrations
ARK Projex also connects to Microsoft 365, Google, Bluebeam, QuickBooks, and Procore. All of them are set up the same way — from Profile → Connections for personal accounts, or Administrative → Integrations for firm-wide connections — and each can be disconnected from the same place at any time.
Accounts and access
Your firm administrator manages users under Administrative → Users. Administrators can invite people, assign roles, and deactivate someone who leaves the firm. Deactivation keeps their name on the records they authored while removing their access.
